Job Summary

The Ski Club Operations Manager is responsible for ensuring the quality and cohesiveness of club operations throughout the year as well as working with all relevant parties to grow the club. The Ski Club Operations Manager is responsible for the day-to-day administration and operation of all Crystal Community Ski Club (“CCSC”) programs, including the management of fiscal resources and the implementation of operational policies approved by the CCSC Board of Directors (“Board”).  The Ski Club Operations Manager works in collaboration with Crystal Mountain and other community organizations and represents CCSC throughout the region. The position requires flexibility to work weekdays, weekends, and evenings.


The Ski Club Operations Manager is a part-time employee of Crystal Mountain, reports directly to the Director of Snowsports, and works closely with the CCSC Board of Directors,  the CCSC President and CCSC Board Committees.   The Ski Club Operations Manager will attend CCSC Board meetings and participate in CCSC committee meetings as appropriate to support operational management needs.


As a part-time employee, Crystal Mountain will provide a computer, office space, and office supplies for the position. Recreation Benefits for part-time Crystal Mountain employees will be available for this position.


Job Duties and Responsibilities

Program Planning, Development, Implementation, and Evaluation

  • Responsible for overseeing the development, implementation, ongoing operation, and evaluation of programs.  Ensures the quality and effectiveness of programs by working with Program Directors to set goals and measurable evaluation criteria for programs/initiatives
  • Works with program directors and/or coordinators of all programs, including Race Academy, Master The Mountain, Freestyle, Junior PSIA, Junior Patroller and Crystal Nordic to prepare for and implement these programs. Also serves as the point of contact and main resource for these program directors.  Works with Crystal Mountain as the Club liaison to address Program Directors’ needs/issues.
  • Serves as the program director for Outreach programming. 
  • Ensures that all aspects of the registration process are defined and set up for all programs. Resolves registration issues, including approval of refunds.
  • Works with all relevant parties throughout the year to plan for and improve all programs.
  • Identifies grants to support operational needs and participates in grant writing.  Responsible for operational grant reporting. Ensures that grantors of operational funds receive appropriate recognition and all necessary receipts and reports are supplied to the grantors as required by the grants.

Financial Management and Stewardship

·         Works with the Program Directors and Board in developing a realistic annual operational budget and making decisions consistent with the budget, as approved by the Board

·         Works with the Treasurer to provide monthly and timely reports to the Board of Directors that compare performance to budget and to the previous year or other benchmarks

·         Assists the Finance Committee to plan for adequate cash flow to cover operational needs

Partnership Management

·         Works with the Board and Crystal Mountain management annually to negotiate terms of partnership and metrics to monitor progress

·         Prepares quarterly reports for Board and Crystal Mountain management regarding partnership and evaluation criteria

·         Liaises with Crystal Mountain management to resolve operational issues

·         Keep Crystal Mountain employees abreast of CCSC activities and associated changes

Supporting Board Governance

  • Prepares reports for the Board to ensure they fully understand operational performance and topics that are relevant to the Board’s work
  • Ensures that Board members have the necessary information and meeting materials
  • Attends Board meetings
  • Attends appropriate committee meetings as a non-voting member
  • Develops and sustains strong working relationships with Board members
  • Prepares monthly report to Board to keep them informed and educated about ongoing operational activities
  • Provides input to the marketing committee regarding ways to promote the club internally and externally.
  • Regularly attends community events on behalf of the club for fundraising and community relations efforts.


  • Provides monthly operational updates and an annual operational summary to the Board of Directors.
  • Ensures that a parental communication plan is in place for all programs
  • Ensures that appropriate operational information is communicated internally and externally via social media, website, email, and a Club newsletter
  • Develops industry and community connections on behalf of the Club.

Business and Strategic Planning

  • Works with the Board on the Club’s strategic planning efforts to ensure operational needs are addressed.
  • Works with Board and Committees to create an annual operating plan to support operational needs.

Professional Development

  • Stays current in both PSIA-AASI & USSS certifications or other relevant professional certifications
  • Stays current on trends and educational materials in the ski industry.




  • Coaching hours for any Crystal Community Ski Club programs are not included in this role.



Winter 7 Months

·         October 1st – April 30th

·         Works no more than 29 hours per week

·         Program operations will be the focus for Winter months

·         Scope of responsibility

o   Liaising with Crystal Mountain

o   Addressing needs of Program Directors

o   Working with the Marketing Committee and Program Directors to ensure timely and informative internal communication and a newsletter to members

o   Defining registration setup requirements for programs 

o   Outreach Program Management

o   Grant reporting and tracking of funds (with Treasurer)

o   Planning training (Fall) with Program Directors

o   Ensuring Program Directors report out to Board monthly during season

o   Ensuring review/visioning sessions (Spring) are completed

o   End of season reporting to Crystal Mountain

o   Board Governance duties as identified above

o   Maintains professional certifications

·         Outside of job scope

o    Coaching for CCSC programs

Summer 5 Months

·         May 1st – September 30th

·         No more than 20 hour per week

·         Operational budget development, program planning, grant work to support operational needs, and operational management for summer programs will be the focus for Summer

·         Scope of responsibility

o   Work with Program Managers and Crystal Mountain to develop plans for next season

o   Work with Treasurer and Program Directors to develop operational budget for next year

o   Work with Board to develop annual operating plan and strategic planning when needed (every 3 years)

o   Work with Revenue Development Committee to identify summer fundraising goals and plans

o   Work with Marketing Committee to develop needed marketing materials/communication

o   Grant identification and development to support operational needs and completion of grant reporting

o   Attending community/fundraising events  

o   Operational oversight for summer programs – registration requirements, resolution of Program Director’s issues/needs, Crystal Mountain liaison

o   Board Governance duties

o   Support for timely Internal/external communication regarding programs
