Job Summary

Responsible for coordinating, planning and executing group events and activities for meetings and social groups, including but not limited to:  audiovisual needs, food & beverage requests, transportation, special events, recreation, billing and up-selling resort amenities and services.

 

Job Duties and Responsibilities

  • Consult with customers to determine objectives and requirements for events, meetings, conferences, and conventions.
  • Coordinate event details, such as accommodation and transportation for participants, facilities, catering, signage, displays, activities, coordination of vendors and any special needs or requirements.
  • Monitor event activities to ensure compliance with applicable regulations and laws, company policies/insurance, satisfaction of participants, and resolution of any issues which may arise.
  • Confer with applicable staff to coordinate details.
  • Conduct post-event evaluations to determine success of event and opportunities to improve future events.
  • Maintain organized and detailed records of all aspects of group functions, including contacts, vendors used, insurance, functions sheets and financial details.
  • Evaluate, suggest and sometimes facilitate service providers/vendors according to customer requirements. 
  • Maintain directory of contacts of vendors with proven track record of reliability and quality services to deserve CSM and resort endorsement to clients.
  • Inspect event facilities to ensure that they conform to client requirements.
  • Review event contracts, releases, functions sheets and bills for accuracy.
  • Suggest appropriate add-ons and services to clients.
  • Meet with sponsors and organizing committees to plan scope and format of events, to establish and monitor client goals for event.
  • Keep abreast of meeting management standards and trends.
  • Coordinate support staff required for events.
  • Develop event contacts with local contractors, service providers, entertainers and featured speakers to assist groups.
  • Manage one's own time and meeting deadlines.
  • Act as a liaison between the sales and operations department of the resort to ensure a successful event for the clients and all of the client’s needs are met and communicated accurately and efficiently to all departments of the resort.
  • Compile all Function Sheets and group resumes for groups.
  • Covers front desk shifts as needed.
  • Assists with coordinating internal functions.
  • Attend Bridal Shows and other events to promote business.
  • Other duties as assigned.

 

Job Specifications

Competencies:

           Excellent Time Management Skills and highly organized.

           Advanced knowledge of SMS, Delphi , Microsoft Office Suite (Excel, Word, Outlook Calendars).

           Effective business writing skills (grammar, vocabulary, clarity and brevity).

           Clear and concise verbal communication skills.

           Self-directed and able to maximize use of time, resources and technology.

           Able to analyze, interpret and present data in various formats.

           Able to work with computers, faxes, copiers, scanners and various other technologies in offices and on resort.

           Understanding of Audio Visual (AV) and technology setup capabilities available to clients on the resort.

           Maintains client and company confidentiality at all times.

           Dependable and meets timelines, deadlines and goals.

           Exemplifies professional conduct and adherence to company Core Values.

Education:

           Minimum of an associate’s degree required.

           Bachelor’s degree in business, management or hospitality management preferred.  Or a combination of education and experience that enables performance of all aspects of the position

           Evenings, weekends and holidays are a regular part of the schedule.
