Position: Residential Services Manager II (LFR191)


Summary:

The Residential Services Manager is responsible for day-to -day administrative functions of the program, front desk, fire safety and evacuation management.
 

Minimum Qualifications:
Bachelors’ degree and three years of relevant work experience. Strong coordination skills, excellent written and verbal communication skills, excellent organizational skills, accurate record keeping, computer skills.
 

Supervisory Role:

This position does have supervisory responsibilities.

Principal Responsibilities:

  1. Manage day- to day- program services office functions (HR related items such timesheets for payroll, assist with gathering new hire documentation, order and process invoices for office supplies, vendors-related follow ups and internal department-related follow ups as required)
  2. Track, maintain and submit Tier II CAREs billing to the Business Office monthly (including occupancy and daily census)
  3. Manage Petty Cash, metro cards and reconciliations. Maintain master inventory.
  4. Handle confidential and non-routine information and explain procedures 
  5. Manage front desk operations and schedule to ensure 24-hour coverage, 7 days a week
  6. Ensure proper documentation of client admission, reporting of vacancies to DHS vacancy unit, client arrival and departure procedures
  7. Manage client incidents, notifications and ensure all incidents are entered in CARES database and AWARDS
  8. Perform other related duties as required 

Expected Results of Principal Responsibilities:

  1. Program services office functions are efficient and operate smoothly 
  2. Statistical records are available to funders and executive office.
  3. Expenditures, invoices, and revenues are accurately tracked. Inventory procedures are followed and provide accurate results.
  4. Program and procedural information is disseminated appropriately and accurately.
  5. Front desk and shift staff are well trained and supervised.
  6. Client arrival and departure function runs efficiently and is documented according to agency procedures
  7. Ensure we are following processes and procedures set by the agency as well as funder requirements
  8. Related duties are performed completely, on time and accurately

Work Environment:

While performing the duties of the job, the employee will be in an office and residential shelter environment.
 

Physical Demands:

While performing the duties of the job, the employee is regularly required to have visual acuity, talk and hear while communicating with peers and/or vendors. This position requires sitting, walking, and standing. The employee must occasionally lift and/or move items up to 20 pounds.
