POSITION SUMMARY:
Under the general direction of the Education Manager, the B&G Club Program Aide serves as receptionist, front desk monitor and administrative support; providing clerical duties.  Provides an exceptional customer service experience. Promotes Club membership and programs; and maintains a master schedule of events and programs. Answers the telephone in a courteous manner and directs calls to the appropriate destination; greets, checks-in and -out members and guests.  Monitors security controls and ensures the safety of building, staff and clients. Provides general information about Salvation Army services and BGC operations. 

ESSENTIAL FUNCTIONS:

Administrative (65%):
Answers telephone in a courteous and tactful manner. Resolves or refers concerns and complaints promptly.
Represents The Salvation Army in a professional and positive manner.
Responds to inquiries and requests for information in an accurate, timely manner.
Conducts facility tours and membership orientations as needed.
Monitors the front desk area.
Maintains a neat and orderly appearance of the front desk area.
Oversees check in/out of club members and visitors following established procedure.
Ensures safe, socially appropriate behavior of youth. Reports issues to managers.
Assists with the coordination of membership enrollment, summer camp registration, and program activities; assists in planning and coordinating special events, conferences and seasonal programs.
Promotes safety throughout the building. Monitors video surveillance; immediately reports unsafe behavior or suspicious activity.
Cultivates and develops relationships with members, parents and volunteers.
Provides quality customer service information and assistance to members and guests.
Respects and maintains the confidentiality of Club members' and their families’ information.

Clerical (35%):
Prepares general correspondence and performs routine data entry.
Maintains an updated master calendar of all programs, classes, events, and facility reservations.
Compiles and enters statistical data related to membership, programs and administrative records; ensures the accuracy and completeness of the same.
Maintains all facets of the KidTrax membership database and produces reports for management.
Receives, receipts and posts monies for the Club; assists in preparing deposits and ensuring the accountability and security of the same.
Receives, sorts and distributes mail in a timely manner; forwards mail to the appropriate person and/or destination; collects and prepares outgoing mail.
Maintains inventory and restocking of office supplies; assists in ordering program materials and supplies.

Other Responsibilities:
Performs other duties as assigned.

MATERIALS AND EQUIPMENT:
Computer, Microsoft Office Suite, Copier, Printer, Fax, Phone, Security System, AV Equipment, and Motor Vehicles

MINIMUM QUALIFICATIONS REQUIRED:
 
EDUCATION AND EXPERIENCE:
High school diploma or GED required supplemented by additional Business, Communication or Education courses preferred;
And 
Two years minimum of experience, preferably in diverse and urban areas;
Or 
Equivalent combination of training and experience which provides the required knowledge, skills and abilities

LICENSES AND CERTIFICATIONS:
Valid driver’s license without restrictions; CDL a plus.
CPR/First Aid Certification.

KNOWLEDGE, SKILLS AND ABILITIES:
Ability to present a positive and professional image of The Salvation Army.
Ability interact with children and teens with patience and respect. 
Ability to prepare and maintain records and reports in an accurate and complete manner.
Ability to support and coordinate activities and events.

Ability to operate and generally maintain all office equipment, including but inot limited to the copier, fax machine.
Proficiency with Windows & Microsoft Office 365, particularly Word, Excel, PowerPoint, and Outlook.

Ability to multi-task, ability to follow instructions and complete tasks in a safe and effective manners.  
Ability to interact with co-workers and the public in a positive, professional manner.  
Ability to meet attendance requirements.
Ability to read, write, and communicate the English language effectively.
Ability to communicate clearly both orally and in writing.
Ability to work under the pressure of deadlines and time constraints.

Physical Requirements:
Work requires the ability to lift and carry and/or push/pull moderately heavy (25-50 lbs.) materials, supplies and equipment. Required to grasp objects, push and pull objects, bend, stand, walk, squat or kneel. Moderate to high mobility; duties are usually performed by combinations of sitting, standing and walking on a frequent change basis. 

Working Conditions:
Work is performed in a combination of office and field settings. Frequently required to sit and reach; and must be able to move around the work environment. The noise level in the work environment is usually moderate. Work will typically be indoors in a heated and air-conditioned office or location, with a mixture of natural, incandescent and fluorescent light with moderate noise levels or be subject to working conditions. Work may require performance of duties where exposure to communicable and infectious diseases are possible. Use of a computer is required; and the ability to communicate using a computer and phone/smart device. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust. Eye-hand coordination and manual dexterity to manipulate activities is required.
