Job Summary

Responsible for all details associated with the processing, tracking and coordinating of DFW Metroplex Command capital construction projects; ensures that all required information Is accurately obtained and processed in a timely and effective manner in compliance with external regulations and Salvation Army policies and procedures.

Project Coordination Responsibilities: (50%)

Performs all project coordination functions, in a timely and effective manner, in accordance with established policies and procedures.
 

Submits appropriate blueprints and specification books to the Property and Purchasing Manager for review and recommendation for approval to the Texas Divisional Headquarters; serves as liaison in communicating with outside Real Estate and Property Title companies to gather any further information that will ensure the accuracy and completeness of all property proposals.
 

Serves as liaison for other DFW Metroplex Departments seeking information regarding the expected timeline and schedule of project schedule and operations of The Salvation Army property; responds to questions, researches in a timely and effective manner and provides specific and general information.
 

Coordinates and maintains records for all relevant project documentation, org charts, calendars and reports; maintains copies of all documentation in an organized and efficient filing system; tracks and distributes all documents including drawings, specifications, Salvation Army policies and procedures; contractor and engineering submittals, change orders and all other relevant documentation.
 

Performs accounting tasks, tracking and maintaining of multimillion dollar projects spreadsheets, and reviews payment requests from contractors subsequently making data comparisons to ensure completeness and accuracy.
 

Liaison Responsibilities: (30%)

Acts as point of contact on site to support multiple stakeholders responsible for project components:  supports the Property Department by acting as point of contact for vendors and contractors, monitors the scheduling of project components, submission and progress of milestones and achievements on site.
 

Acts as subject matter expert on adherence of all safety, health and environmental rules and regulations; ensures project leaders are enforcing the adherence of such.
 

Ensures document management and control system is established, per project.
 

Assists in project closeout by managing punch list and closeout logs, compiling turnover package, contract closeout and transfer of care and oversite of project site.
 

Administrative Support Responsibilities: (20%)

Reviews and processes assigned property documents in a timely manner; ensures completeness and accuracy of all documents for processing through the DFW Metroplex Command and Texas Divisional Headquarters; obtains the required signatures of approval; composes and provides letters of transmittal indicating the documents returned and processed.
 

Prepares monthly project reports for the Property and Procurement Manager; compiles project metrics: schedules and attends meetings to update the Property Department on project progress.
 

Other Responsibilities

Performs other related work as required.

Knowledge, Skills, and Abilities

Knowledge of basic accounting or bookkeeping practices and procedures. Ability to effectively read blueprints.   Ability to effectively review and understand complex legal documents pertaining to or associated with construction project contracts in order to protect the interests of The Salvation Army.  Ability to effectively understand construction terminology.  Ability to effectively maintain the confidential nature of the work.
 

MINIMUM QUALIFICATIONS REQUIRED:

Education and Experience

Bachelor's degree from an accredited college or university in Organizational Management, Construction Management, Project Management or related field,
 

and
 

Two years of progressively responsible experience performing construction management or project coordination,
 

or
 

Any equivalent combination of training and experience, which provides the required knowledge, skills, and abilities.
 

Certifications

Valid Driver License
 

Physical Requirements

Ability to meet attendance requirement.   Ability to effectively read, write and communicate in the English language. Ability to effectively read, write and communicate in Spanish (preferred).  Ability to interpret, analyze and compute numbers and to perform routine and mathematical computations.   Duties are usually performed by a combination of sitting, standing, walking, and/or driving a vehicle.   Moderate amount of physical effort required associated with walking, standing, lifting, and carrying light or moderately heavy objects (more than 25 lbs.).
 

Working Conditions

Work may be performed in an office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.   Work requires driving a vehicle and working outdoors where there may be physical discomforts associated with driving in heavy traffic and changes in weather.
