Job Summary:

 

The Campaign Events and Communications Specialist is responsible for managing campaign events and communications. In addition, this position will partner with the Campaign team and Donor Services team in the implementation of stewardship activities with One Army, Many Fronts campaign donors. The Events and Communication Specialist is a member of the Campaign Team who joins the Senior Director, officers, staff, and volunteers to build relationships with high-level prospects and donors by managing and implementing event plans, communication schedules, and activities to achieve the comprehensive campaign plan and fundraising goal.

Planning Activities (50%)

 

Participate in campaign meetings.

 

Assist with and participate in planning all campaign events from inception of event concept to development of guest lists, written event timelines for implementation, budget and expense planning, vendor management, event evaluation, and post-event stewardship, while working alongside volunteers.

 

Contribute to and help implement campaign planning activities, including contributing to cultivation event planning, campaign communications planning, committee meeting planning, and stewardship planning.

 

Participate in assigned Community Relations planning and meetings.

 

Develop campaign event strategy to help meet campaign financial targets.

 

 

Fundraising and Activation Responsibilities (30%)

 

Develop beneficial and collaborative relationships with volunteers, board members, and community members.

 

Actively participate in campaign, staff, and volunteer meetings; plan, lead, and attend all event committee meetings.

 

Develop compelling event communication materials, including drafting digital and print content to ensure materials are accurate, effective, and attractive. 

 

Work collaboratively with the Campaign Coordinator to create targeted strategies to drive event participation, nurture relationships with key individuals, and secure event underwriters.

 

Keep financial records up to date by maintaining event budgets, the timely processing of event-related expenses, an accurate database and mailing lists, attendance tracking, and timely donor correspondence.

 

 

Cultivation, Solicitation, and Stewardship of Donors (15%)

 

Support Campaign team in donor prospecting and cultivation to align donor interests with campaign events.

 

Execute effective, visually appealing, accurate, and targeted pre-event communication schedule.

 

 

Support effective outreach activities to ensure and foster productive campaign relationships with key individuals and event attendees.

 

Maintain accurate guest lists and event attendance to ensure high quality guest experiences at campaign events and accurate post-event reporting. 

 

Collaborate with campaign team to coordinate event-day donor interactions, solicitations, and giving as appropriate. Provide campaign team with event wrap-up reports to ensure donors and attendees are thanked appropriately in a timely way that correlates to their giving interest.

 

Select event venues, scope, collect bids, and secure all event vendors, and manage the menu selection process to ensure a high-quality, on-budget event experience (at times working in collaboration with volunteers).

 

Oversee all event operations, vendors, catering, and staff on event day to ensure a high-quality experience for attendees.

 

Develop event-day internal documents and materials for use at the event by staff and vendors, to include, but not limited to run of show, script, diagram, shot lists, and registration materials.

 

 

Liaison Responsibilities (5%)

 

Direct work with Campaign team.

 

Participate in Major Gift Committee activities.

 

Participate in Community Relations department meetings.  

 

 

Other Responsibilities:

Performs other duties as assigned.

 

 

Materials and Equipment:

Personal computer; general office equipment.

 

 

Knowledge, Skills and Abilities:

 

Deadline driven with a strong attention to detail. 

 

Ability to plan, develop, and coordinate meetings and special events related to fundraising and public relations with specialization on individual fundraising.

 

Knowledge of effective and efficient methods for organizing and maintaining records, and the ability to perform the same.

 

Knowledge of the principles and best practices of fundraising, gift administration, and taxation.

 

Exceptional written and oral communication skills, and the ability to interact with donors, vendors, and staff clearly and respectfully.

 

Ability to multitask, problem solve, and improvise independently and with poise.

 

Ability to plan, develop, and implement campaign event and communication strategies and to evaluate and determine effectiveness in achieving short- and long-range goals.

 

Ability to maintain accurate event records, budgets, and guests lists, while maintaining the confidentiality of financial donor information and campaign commitments

 

Ability to exhibit and participate in collaborative teamwork for fundraising.

 

Ability to lead, motivate, monitor, and provide accountability of vendors, volunteers, and staff members to collaborate for successful event operations.

 

Ability to work independently or with limited supervision.

 

Ability to build and maintain effective working relationships with The Salvation Army officers, employees, and volunteers.

 

Ability to present a positive, professional image as a representative of The Salvation Army

 

 

MINIMUM QUALIFICATIONS REQUIRED:

 

Education and Experience:

 

Bachelor’s degree from an accredited college or university

 

And

 

Three years professional experience in planning and implementing events, meetings, or similar functions.

 

Or

 

Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

 

 

Certifications:

 

Valid state driver’s license

 

 

Physical Requirements:

 

Ability to meet attendance requirements.

 

Ability to read, write, and communicate the English language effectively.

 

Ability to speak before small and large groups of people.

 

Ability to drive a Salvation Army vehicle or personal vehicle to travel to various locations to participate in donor meetings, public meetings, events, etc.

 

Ability to work successfully under the pressure of deadlines and time constraints.

 

Ability and willingness to conduct all duties in accordance with the ministry of the organization and its Christian principles.

 

Conduct all communications and job duties with the highest level of professionalism and donor care.

 

Duties are usually performed in an office setting seated; frequent walking and standing for long periods of time will be needed based on the event schedule.

 

Sitting may be relieved by brief or occasional periods of standing or walking.

 

Frequent physical effort required, particularly on event days, associated with walking, standing, lifting, and carrying objects (less than 50 lbs.).

Working Conditions:

 

Work may be performed in an office, a collaborative work office space, or remote home office environment where there is little or no physical discomfort associated with changes in weather or discomfort associated with noise, dust, dirt, and the like, but not limited to the office environment. 

 

This position requires a self-motivated, highly organized individual with superior communications skills. Must have a demonstrated ability to write persuasively, motivate positively, and influence potential donors. It also requires the ability to maintain client confidentiality and privacy.
