Pay Range: $21.26 - $23.92 / Hour; 40 hrs/wk  

About this opportunity:

This position is responsible for performing computerized double-entry bookkeeping tasks requiring basic knowledge of the principles and practices of fund accounting in order to properly record and maintaining precise fiscal records and financial data; applying fundamental bookkeeping knowledge and skills to varied bookkeeping tasks such as posting, checking entries, issuing checks, balancing accounts, and preparing financial reports for assigned accounts; preparing and maintaining financial records in an accurate, complete, and timely manner while ensuring the integrity, security and accountability of Salvation Army financial accounts.

This position also performs a variety of clerical support work for the command including processing HR information and maintaining the filing system of human resources documents; tracks attendance balances and leave requests; audits and performs data entry and edits in the human capital management (HCM)  system; assists with processing health insurance enrollment/termination information, processes background check submission requests and E-Verify entries; performs a variety of clerical support work including routine typing and photocopying of reoccurring correspondence, forms, lists, logs, records, etc. under close supervision of an immediate supervisor; answers the telephone and provides general information regarding the department operations and/or services; processes incoming and outgoing mail.

 

Key responsibilities:

ACCOUNTING DUTIES

  • Composes, prepares and/or types a wide variety of paperwork including that of a confidential, complex, and/or technical nature with limited supervision and direction
  • Posts and maintains a variety of ledgers; enters income, expense, and balance sheet data into computerized financial systems; proofs entries to verify accuracy, completeness and integrity; prepares and makes journal entries, balances accounts and prepares reports.
  • Transfers totals from ledger accounts to routine financial statements; prepares Income & Expense Statement, Balance Sheet, Bank Reconciliation, Mileage, Self-Denial, Accounts Receivable and Payable Reports, etc.
  • Posts and maintains accounts payable ledger; receives, dates, stamps, obtains approval stamp, and codes all invoices; matches invoices with appropriate back-up paperwork and purchase order; enters data into the accounts payable system; runs reports weekly to determine bills that are due; enters cash payments into the computer; runs checks, records disbursements in all cash ledgers, and distributes checks.
  • Posts and maintains accounts receivable ledger; receives invoice payments and verifies amount due; prepares receipt, stamps check, posts payment, runs reports, and completes and files deposit slip; determines source of funds and makes appropriate entry into books; maintains records of amounts receivable from Divisional Headquarters, Territorial Headquarters, other units and vendors; collects amounts from officers and employees for personal phone calls, uniforms, etc.
  • Receives, records, and deposits cash receipts; prepares daily tabulations and reports of cash receipts; distributes receipts to proper funds; makes daily entries into cash receipts ledger; makes adjusting entries as necessary i.e. voids checks and bank charges, etc.; prepares checks for deposit; reconciles bank balance to book balance.
  • Classifies receipts and disbursements in accordance with established codes; maintains billing and posting of charges and credits to accounts; prepares summary reports.
  • Posts payments of expenditures; issues checks as necessary; maintains specified fund accounts and verifies daily deposits.
  • Assists the Thrift Store manager in developing a store business plan that includes sales goals, based on historical data; sets new goals for growth.
  • Monitors Thrift Store sales and expenses to ensure business plan and budget is adhered to.
  • Ensures Thrift Store Manager has adequate system in place to account for all donations received.
  • Conducts monthly unannounced Thrift Store audits/visits to verify cash totals in drawer based on X tape.
  • Assists store manager in ensuring internal controls are in place and in use.  Including, but not limited to verifying that cash reports include two signatures and deposits are made regularly.
  • Ensures Store manager and employees have working knowledge of DSR forms and are completing Daily Sales Reports with limited errors.
  • Prepares Divisional Headquarters remittance forms listing monies owed for insurance, statewide and support service, retirement, property income and expense, vehicle replacement, and miscellaneous.
  • Prepares and balances bank reconciliations and copies financial statements from computer printouts to required forms.
  • Assists Corps Officers in researching new grants, new program proposals, and provides information regarding potential funding sources: works as the key person in reviewing financial impact of any new grants and manages any budgetary revisions needed. Works with DHQ Finance team and DHQ Development team in managing funds from any awarded grants.
  • Attends community meetings as needed with Corps Officer, to understand current budgetary trends that may impact the work of the Salvation Army.
  • Generates complex financial documentation and technical reports.
  • Maintains checking accounts by making daily deposits, tracking bank balance and reconciling accounts; follows-up with bank to resolve errors; maintains complete file of deposit slips and cancelled checks.
  • Prepares and maintains records, databases, books, logs, lists, etc. in an accurate, complete, and timely manner; updates, posts and indexes information and inputs data into the computer to maintain records; researches files to locate specific information found in documents, correspondence, lists, forms, etc.
  • Provides assistance in performing routine audits; assembles and prepares records for presentation to auditor; answers auditor questions as necessary.

 

HUMAN RESOURCES DUTIES

  • Reviews HR records and enters information as required into TSAMM and the HCM system. Notifies the assigned Regional HR Director (RHRD) of such entries so they can review and process personnel information.
  • Coordinates recruitment and onboarding activities for the command. Processes background checks and related appeals for the location. Processes I-9 forms and E-Verify. Assigns required employee training.
  • Coordinates paperwork and processing related to New Hires, Onboarding, Employee Changes, Terminations.
  • Assists employees with benefits including new hire and open enrollment, paid time off and leaves of absence. Assists the Regional   Human   Resources   Director   by   updating   and   submitting monthly enrollments, terminations, and changes to the billing statement for The Salvation Army Health Plan for Divisional Headquarters; assists in delivering open enrollment documentation.
  • Helps prepare HR information and reports for audits.
  • Helps coordinate annual and 90-day performance review process. Answers employee questions about the same.
  • Provides answers to all employee-related questions with RHRD direction.
  • Reviews electronic timesheets, ensures proper leave balances are maintained, applies edits as needed and enters data and corrections into the time system on a weekly basis; advises the Corps Officer or RHRD of constant tardiness, excessive absences, and other related attendance issues.
  • Plans, prepares, updates, and monitors personnel records; files documents alphabetically, numerically or by any other established filing system; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner; inputs data and generates various personnel reports and lists.
  • Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues.
  • Performs routine typing of standard departmental documents, cards, and labels with little or no deviation from established methods and procedures; proof-reads documents for accuracy and completeness before completing one project and going on to another project.
  • Prepares, maintains, and updates office records, documents, logs, lists, files, purchase orders, etc.; inputs and updates information in computer database; researches office files to locate specific information found in documents, correspondence, lists, forms, computer records, etc.
  • Maintains I9 and EEO files, ensuring accuracy and completion of documents.
  • Answers telephone in a courteous and tactful manner; assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the department's operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
  • Receives, sorts, and distributes mail in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and/or destination; collects and prepares outgoing mail.
  • Photocopies and/or shreds a variety of items including correspondence, forms, reports, and documents.
  • Distributes general information regarding The Salvation Army's services, programs, conferences, seminars, etc. in an accurate and timely manner; compiles mailing lists and ensures the accuracy and completeness of the same.

What we are looking for in you:

  • Bachelor’s degree from an accredited college or university in accounting, bookkeeping, business or related field AND
  • Two years experience in the performance of increasing complex bookkeeping work utilizing a computerized accounting system (Great Plains preferred) with some exposure to double-entry fund accounting OR
  • Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

 

Physical Requirements and Working Conditions:

Duties are usually performed seated.  Sitting may be relieved by brief or occasional periods of standing or walking.  Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time.  Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
