Executive Assistant to the Office of the President

Stevenson School is currently seeking a full-time Executive Assistant to the Office of the President.  Reporting to the president, and supporting the president, president’s office, and president’s house, the executive assistant manages multiple responsibilities and tasks, anticipates needs, and initiates appropriate action.

Duties and responsibilities:

  • Represents and supports the office of the president positively, efficiently, and effectively at all times and with all audiences.
  • Oversees the operation of the president’s office, which includes receiving calls and visitors, coordinating correspondence, and controlling multiple calendars (including those associated with the reservation of specific rooms)--“managing up,” as needed, to ensure that all matters are handled in a timely manner.
  • Assumes a leading role for all regular and special events directly associated with the president’s office and president’s house, and oversees maintenance associated with the president’s house.
  • Provides support, as needed and directed, for seasonal events, such as summer faculty symposium, opening employee meeting and barbeque, opening of school, orientation, parents’ weekend, graduation, closing employee meeting, and alumni weekend.
  • Provides administrative and technical support to the board of trustees, including coordinating and proofreading reports and other materials prepared by School administrators for the board of trustees, curating the School’s BoardEffect account and providing related technical guidance to trustees, and making catering and related arrangements for board of trustees’ quarterly meetings.
  • Manages logistics associated with the president’s domestic and international travel.
  • Processes expense reports, maintains office archives, and ensures that dues are paid for institutional memberships.
  • Other duties and projects as required and/or assigned.

 

Position qualifications

  • BA (or higher) degree.
  • 5-10 (or more) years of relevant professional experience.
  • Proficient with MS Office Suite, Google Apps, Slate, and a proven ability to learn and use relevant and new technology quickly.
  • Excellent interpersonal, written, and oral communication skills.
  • Superb organizational skills, including the ability to maintain well-organized digital and physical files.
  • Trustworthy, loyal, patient, unflappable, resilient—with a demonstrated ability to exercise superb professional judgment and maintain the highest level of discretion and confidentiality.
  • The capacity to manage multiple simultaneous responsibilities and projects under pressure, prioritizing and executing equally urgent tasks, and the confidence to take the initiative, when required.
  • Ability to work independently and as part of a team.
  • Expertise in managing events, budgets, vendors, service providers, and partners.

 

 

Work environment

This job operates in a professional office environment with a mixture of guests/visitors including young students/parents and professionals.  This role routinely uses standard office equipment including a computer, photocopier/fax and filing cabinet.
