Position Summary:
Under the general supervision of the Program Manager, provides clerical and administrative support to departmental staff and clients.
Essential Duties and Responsibilities
  1. Promptly and courteously answers phone, logs detailed voice mail messages, distributes phone messages to appropriate staff person.
  2. Opens, stamps, logs and distributes incoming mail on a daily basis.
  3. Keeps logs of outgoing mail and prepares outgoing mail timely. Responsible for processing and ensuring that overnight mailings are sent timely. Faxes, e-mails or mails applications to Tribal Members upon request.
  4. Prepares check requests and routes for signature.
  5. Responsible for ensuring that all vendors, property owners, rental agencies, apartment complex, mortgage company, etc., have submitted a W-9 form and that a copy is kept in the Crisis Assistance Office and the original is sent to the Accounting Department.
  6. Accurately and timely files all documents in the proper file and maintains accurate filing system for clients of each program overseen by the program.
  7. Responsible for ordering office supplies as needed, including processing check requests and/or purchase orders; routes for signature. Keeps log of what was ordered and when it was delivered.  Ensures office supplies are kept in sufficient quantities so as not to impact work flow.
  8. Maintains strict confidence at all times.
  9. Backup for Program Coordinators to assist clients with submission of applications.
  10. Performs all other duties as necessary.

This position has no supervisory responsibilities.


Qualifications and Requirements

Education and/or Experience

  • High School Diploma or GED required; and two years related general office or administrative assistant/secretarial work experience required; or equivalent combination of education and experience.
  • Intermediate experience and intermediate knowledge using word processing, and spreadsheets (i.e. Word for Windows, Excel, etc.) is required.  Intermediate skill level to work in Access is necessary and required for this position.

Language Skills

Employee must demonstrate the ability to interact tactfully and positively with Tribal members, all levels of staff and management. Ability to maintain a high level of confidentiality.  Ability to write reports and business correspondence. Ability to effectively respond to questions and present information to management, employees and groups of people.
Mathematical Skills
Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s.  Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability

Ability to apply common sense, understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

Licenses or Certificates

Must have and maintain a valid and unrestricted Washington State drivers license and proof of insurance.  Driver’s License must not contain any restrictions that would otherwise prevent an employee from driving a GSA vehicle or complying with the Tribe’s Vehicle Use Policy.

  • May occasionally require work after hours and on weekends.
