Job Summary

The Development Associate will primarily be responsible for: 1) processing all donations (including managing the gift acknowledgement process) in a timely and efficient manner; 2) ensuring the integrity of the Raiser’s Edge database and the information that is thereafter integrated into the Accounting Department’s financial management database or used by the department to meet fundraising goals; and 3) providing administrative financial data tracking and reporting support for the department.

 

Essential Duties and Responsibilities

·       Process donations (including monetary gifts of physical cash, checks, in-kind donations, stock gifts, credit card transactions and online gifts):

o  Creation of restriction forms for designated, high-profile donations (Airtable)

o  Confirm matching gifts and create/maintain employee giving portals and other donor access sites

o   Electronically deposit checks

o  Help manage the additional processing/invoicing/acknowledgements of unique appeals (such as Mother’s Day cards, IHO/IMO requests, or new donor Welcome Packets)

o   Update, maintain and enforce donation policies and procedures

·       Manage Acknowledgement Process (generation of letters, sorting, signature collection, scanning, postage, mailing)

o   Manage gift acknowledgement process (determine appropriate letter, signee - merge and mail) for all gifts Input/update/track donor and gift information

o  Proper delivery and follow up of all signatory letters for timely delivery to donors

o  Maintain Annual Acknowledgement process for all individual and institutional donors and United Way letters on annual basis

·       Communication

o   Respond to all gift processing-related inquiries internally and donor-facing questions and issues

o  Maintain communication around donation policy and processes with Accounting Department and provide insight and reconciliation of off-site checks, ACH (bank deposit) processing, and stock contributions.

o   Recommendations, and documentation on improving processes and policies to the Director of Database and Development Operations

o   Reconciliation between Finance and Development department between off-site checks, ACH processing, Stock contributions

o   Daily Gift Report and actionable response to Executive Team and Sr. Team (timed correspondence that needs to be prioritized over daily tasks, emails, phone calls, fax, etc.)

·       Maintain quality and integrity of development data as  a power user of Raiser’s Edge (RE) and coordinator of other Development software:

o   Update and track donor information on Airtable, MailChimp, and RE-integrated tools such as Importomatic and Chimpegration

o   Work with the Director of Database and Development Operations to provide regular reports, such as fundraising or budget reports, statistical and other analysis reports as needed

o   Generate donor listings for Annual Report, newsletter, moves management, and indicators.

o   Follow up directly with donors as appropriate to accurately process gifts

·       Events Management

o   Registration which includes ticketed entry, sign-in sheet, seating charts, and organization of information with lead Event Coordinator

o   Sponsorship tracking and reports to reconcile all gift-related information with lead Event Coordinator

·       Support other Development staff in proper creation, maintenance and updating of online donation and e-marketing tools as well and internal training or assisted training

·       Respond to requests for general information on Project HOME

·       Regular filing of donation information and accompanying correspondence

·       Update/Implement protocol and train support staff as needed

·       Fulfill other responsibilities as necessary

 

Minimum Qualifications

·       Bachelor’s Degree or Associates' Degree with two years related experience or high school equivalency with four years related experience

·       Excellent computer skills (experience w/ Microsoft Word, Excel, Power Point, etc.)
 

·       Mail Merge, Pivot Table, Advanced Excel expertise preferable

·       Experience with databases, preferably experience with Raiser’s Edge or other similar constituent relationship management databases

·       Project management experience

·       Trainer and management experience

·       Great verbal and written communication skills

·       Experience communicating/working with donors and/or in customer service

·       Ability to work independently and as part of a team

·       Excellent organizational skills

·       Ability to successfully manage several tasks simultaneously
