HawaiiUSA is currently seeking a Board of Directors (BOD) Executive Secretary who coordinates and completes administrative functions and tasks as assigned by the Chair of the Board of Directors, the Executive Committee, and the Board of Directors.

General Function: 

  • Reports directly to the Chair of the Board of Directors & President/CEO of the Credit Union.
  • Coordinates and completes administrative functions and tasks as assigned by the Chair of the Board of Directors, the Executive Committee, and the Board of Directors.
  • Serves as a liaison to the Board of Directors and Committee Members (Volunteers) and facilitates flow of communication among the Chair of the Board of Directors, the Management Team, the Board of Directors, and staff.
  • Assists the Board of Directors in fulfilling their duties and responsibilities.
  • Displays understanding of the credit union philosophy, policies, bylaws, and procedures.
  • Exhibits business ethics and trustworthiness positively and professionally.

Essential Duties and Responsibilities: 

  • Serves as liaison for the Board of Directors and Committee Members (Volunteers), facilitating communication with Management and Staff. Promotes relationships with members.
  • Researches, prioritizes, and follows up on incoming issues, inquiries, or concerns from members addressed to the Board of Directors, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response and works to solution.
  • Custodian of records and corporate files. Ensures accuracy and availability of Board material and minutes. Responsible for providing requested Board materials for Audits and Exams.
  • Manages and serves as Administrator the Board Portal to deliver Board material quickly, efficiently, and securely. Serves as an Administrator for the Management Team page on the Employee portal.
  • Oversees the prioritization and routing of correspondences to the Chair of the Board of Directors and the Board of Directors. Corresponds on behalf of the Chair of the Board and the Board of Directors where appropriate.
  • Coordinates meetings for the Board and Management including scheduling, meeting notices and reminders, logistics, preparation of agendas, collection and dissemination of meeting material and reports, coordination with any outside attendees, and taking and preparing meeting notes/minutes.
  • Responsible for coordinating travel arrangement for the Board of Directors and the Supervisory Committee.
  • Creates, plans, and executes Credit Union functions/events related to the Board and oversees logistics for events.
  • Works independently on projects or assignments from conception to completion and effectively manages multiple priorities to meet deadlines with attention to detail. Maintains a follow up system of all items.
  • Attends Board meetings, Executive Committee meetings, Board Committee meetings, and Management meetings, as assigned.
  • Maintains a flexible work schedule based on Board/Credit Union committees and meetings and deadlines; work schedule surpasses normal work hours and days.
  • Ensures compliance with governance procedures.
  • Responsible for establishing, managing, and tracking budget items for the Board of Directors and Supervisory Committee.
  • Performs other duties as assigned.

Technical Competencies: 

  • Proficient in Software Applications – Word, Excel, Power Point, Outlook.
  • Ability to embrace and learn new technologies and software.
  • Ability to type 40 or more WPM.

Minimum Requirements: 

  • Education: High School graduate or GED or two or more years secretarial science curriculum or completion of a vocational school. 
  • Experience: Five years or more of professional experience may be substituted for educational requirements. 

Skills: 

  • High level of confidentiality, ethics, and sound business judgment.
  • The ability to work both independently and cohesively with others, including all levels of management and staff.
  • Strong organization, multi-tasking, and planning skills, with a high level of dependability, commitment, and ability to work with minimal supervision or direction.
  • Ability to learn quickly and continuously, including use of technology. Strong interest in continuous improvement.
  • Excellent written and verbal communication and interpersonal skills.
  • Valid driver's license, good driving record and the use of own vehicle.
  • Excellent service skills. 

 

MINIMUM PHYSICAL REQUIREMENTS:    

  • Sitting for prolonged periods at a desk working on a computer.
  • Walking, reaching, bending, twisting, and turning.
  • Lifting, pulling, pushing, and carrying up to 30 pounds on occasion.

 

Benefits and compensation:

Expected salary range is $68,307 to $76,800 per year.
