Summary: 
This position is responsible for assisting the development director with fundraising and donor stewardship activities as well as assisting the special events manager with the planning, organizing and execution of Zoo-wide events including (but not limited to) Zoo Run, Beastro, Zoo Ball and Boo at the Zoo, as well as donor, membership and adoption events throughout the year. 

Essential Duties and Responsibilities:
•    Work closely with development director to plan and execute donor stewardship events, tours and behind-the-scenes experiences 
•    Assist the development director with donor communications and event invitations
•    Assist the special events manager with all areas of event planning for Zoo-wide events
•    Manage communication with operations department for set up of all tables, chairs, stages, barriers, etc., needed for events
•    Supervise and coordinate efforts of cross departmental staff for event execution including setup and breakdown
•    Research entertainers, rentals and vendors and assists with booking and management of goods and services
•    Coordinate rentals and deliveries for events
•    Coordinate day-of-event logistics
•    Prepare event-related documents, including production and event schedules, diagrams, floorplans, 
•    Assist with special event communication and coordinate updates and distribution of event timelines, layouts and memos
•    Work closely with special events manager on the creation of all event collateral (i.e. signage, T-shirts, maps, etc.) and staff/volunteer needs/assignments
•    Work closely with special events manager to determine supply needs and oversee inventory (i.e. food for Zoo Run, candy for Boo at the Zoo, etc.); track expenses
•    Assist the membership and adoptions coordinator as needed to plan and execute membership and adoption events including (but not limited to) Valentine’s Day, Mother’s Day, Father’s Day, Member Mondays and Pumpkins and Pancakes
•    Conduct post-event evaluation meetings
•    Other duties as assigned 

Qualifications:

•    Professionalism, discretion and ability to work with a team
•    Knowledge of the role of fundraising in nonprofits
•    Valid driver license with acceptable motor vehicle record to maintain zoo standards of insurability

Education and/or Experience:
•    Degree from a four-year college or university in Communications, Marketing, Business Administration or related field preferred
•    Two years related special events experience preferred
•    Familiarity with Microsoft Office Suite

Physical Demands:
While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl; and talk or hear. The employee must occasionally lift and/or or move up to 25 pounds.
