Job Title: Sales Support Specialist                                                          

Reports To:  General Manager

 

 

Summary

 

As a member of the Sales Team, the Sales Support Specialist will oversee the administrative responsibilities required for a fast-paced, dynamic, and growing sales future.  As a first point-of-contact for Maxim’s customers, suppliers, consultants and other interested parties, the Sales Support Specialist creates the virtual “face” of the company.  Working closely with other members of the sales team, as well as the other functions within Maxim, the Sales Support Specialist will coordinate inbound sales leads, assist in the quoting process, track all quotes for on-time submittal, and follow-up with customers on open quotes as needed. The Sales Support Specialist will also act as a liaison with Production on new customer orders and assist with office management responsibilities.

 

 

Principle Duties and Responsibilities

 

  • Develop a clear understanding of Maxim’s products and capabilities.
  • Enter customer orders into Maxim’s ERP system.
  • Print Operation & Maintenance manuals in advance of customer shipments.
  • Maintain government websites applicable to the sales functions within Maxim.
  • Oversee, qualify, and manage inbound sales leads.
  • Answer inbound phone calls and transfer to the appropriate person within Maxim.
  • As a customer liaison, interface with a cross functional team to address customer requests while creating and maintaining positive working relationships with internal & external customers.
  • Attend status meetings in support of customer projects.
  • Create and distribute job folders for each customer order and provide Production with MTR’s as required.
  • Provide customers with part information, price and availability for standard units and parts.
  • As the marketing liaison, work with the FMD Marketing team in the creation of or updating of product literature. Assist the Maxim sales team in the creation of or updating of PowerPoint presentations. 
  • Track FMD-approved customer Terms & Conditions.
  • Manage inbound and outbound shipping of units and parts.
  • Monitor customer satisfaction.
  • Assist in office management through the ordering of office supplies and bi-weekly checks of Maxim’s P.O. Box.
  • Ensure compliance with departmental instructions, procedures and/or Standard Practices as necessary to implement the requirements of customer required processes or other specialized Quality Assurance processes.
  • Work with all businesses that are part of Fairbanks Morse Defense (FMD).

 

 

Qualifications and Educational Requirements

 

  • Minimum of 2 years’ experience serving in an administrative role within a sales team required; working in conjunction with equipment or services for military applications preferred.
  • Associate degree (at a minimum) required.
  • Must have a positive personality that supports working well with co-workers, partners, and customers.  
  • This position requires interaction with both internal and external customers, so the ability to communicate effectively across all levels of management, peers, and customers is necessary
  • Excellent interpersonal skills
  • Excellent problem-solving, task prioritization, follow-up, and customer service skills required
  • Proficient with Microsoft Suite products (WORD, Excel & PowerPoint)
  • Must be self-motivated individual
  • This position requires access or potential access to Unclassified Naval Nuclear Propulsion Information, which is Not Releasable to Foreign Nationals (NOFORN) data. Therefore, to meet NOFORN requirement, you will have to provide proof of US Citizenship and attest that you do not have dual citizenship. Acceptable proof of US Citizenship is a US Passport, US Birth Certificate or Naturalization Certificate.
