Portfolio Manager

Job Summary

Responsible for overseeing the day-to-day operations and management of a residential portfolio consisting of seven to ten properties totaling approximately 2,000 units.

Reports to the Director of Residential Properties.

Supervises the Community Manager and onsite team of each property in their portfolio and is expected to perform site visits a minimum of two times per month.

*Arizona Real Estate License Required, Broker's License Highly Desired*

 Job Duties

  1. General Functions: 
  • Ensure that monthly revenue is achieved in accordance with budgeted goals.
  • Ensure that all rental collections and delinquency recovery is performed timely and accurately.
  • Maintain resident relations with tact, diplomacy and courteous communications.
  • Monitor monthly budgeted occupancy while ensuring highest market rents.
  • Monitor community appearance. Ensure repairs are scheduled and completed on a timely basis. Participate in weekly tours and inspections with the Community Manager and Maintenance supervisor.
  • Develop marketing strategies to increase qualified traffic.
  • Coach leasing team to “close” effectively. Review Guest Cards, traffic, follow-up communications, and closing ratios to assess and direct tam performance.
  • Respond promptly to resident complaints, concerns and requests that reach corporate level.
  • Develop and utilize resident retention programs.
  • Enforce Company policies and community rules with consistency and fairness. 
  1. Weekly Tasks:  
  • Attend weekly one-on-one meetings with Director of Residential.  Be prepared to discuss any property/staff concerns. Submit any proposals for review and approval.
  • Oversee and monitor training of all management, leasing and maintenance staff to operate and maintain each property in a “Class A” condition.

1.     Review job description with new hires.

2.     Monitor training schedules.

3.     Evaluate success of training.

4.     Make recommendations for further training or advancement to job site.

  • Obtain from community manager at least three (3) bids for any maintenance work to be contracted at any property that exceeds $1,000. Actual authorization for work over $2,500 requires approval from Director of Residential Properties.
  • Approve and process all accounts payable invoices within five days of receipt, with exception of those vendors or suppliers who provide discounts for immediate payment. Invoices linked to “prompt payment” discounts will require immediate processing. (Utility bills are to be processed as soon as they are received.)
  • Initiate and process all paperwork associated with the Unit Renovation Program.
  • Monitor Yardi daily to ensure that all tasks shown on Dashboard are being addressed by the onsite team. These include, but are not limited to, scheduled move-ins, move-outs, deposit accountings and maintenance requests.
  • Review and follow-up on all Unlawful Detainer Actions.  In no event shall any resident be allowed to go more than thirty (30) days without paying his/her rent and not be subject to an eviction legal proceeding.
  • Work with Counsel on all legal actions.
  • Ensure that all weekly reporting is submitted timely and accurately.
  • Ensure that all resident transactions are updated by the Community Manager in Yardi on a daily basis.
  • Review pricing and Market Surveys with Community Manager and make rent changes as market conditions dictate. 
  1. Monthly tasks: 
  • Review monthly financial results of property versus Budget and Year-Over-Year results each month.
  • Review Variance Reports submitted by Community Managers to analyze overages, increase revenue, decrease expenses and ensure being on track to achieve financial goals.
  • Ensure that Community Managers submit Renewal Worksheets for non-rent control properties to Residential Portfolio Manager by the 5th of the month. After review, submit worksheet to Director of Residential Properties for review and approval. Notify Community Manager when renewal pricing is approved.
  • Visit complete site at least two times every month for on-site inspections, file audits, maintenance concerns and condition of property with both Community Manager and Maintenance Manager. Community Manager should take notes and photos to produce “punch list.” Submit good photos for advertising. 
  1. Quarterly tasks: 
  • Prepare Quarterly Owner’s financial reports for each property. Review with Director of Residential Properties and make revisions as indicated. Submit within imposed deadline.
  • Review REIS reports. Participate in scheduled conference call. Utilize updates in market reports and quarterly calls to help drive operating results. 
  1. Annual tasks: 
  • Prepare Operating Budgets for each property within portfolio.
  • Prepare Employee Evaluations for each Community Manager and the Administrative Assistant for the portfolio. Ensure that onsite staff evaluations are submitted from the Community Manager to the Portfolio Manager for review and approval within the scheduled deadline.
