Job Description

We are seeking an energetic and detail-oriented Sales Coordinator to join our group team! The ideal candidate will have a naturally ingrained service culture and committed to supporting the growth of the group segment for Club Quarters in Chicago New York.

Job Responsibilities:

 

  • Support manager by developing the client base of individuals, organizations, associations, and social business for group opportunities
  • Maintain client files and update information daily in accordance with established departmental policies and procedures
  • Utilize the sales CRM (iVvy / Salesforce) to log the sales journey from receipt of lead to materialization of group
  • Assist in the preparation and delivery of group proposals and contracts
  • Respond to group leads through online RFPs
  • Work closely with the revenue management and guest services team in the coordination of rate quotations, space availability, inventory management and rooming lists
  • Work closely with accounts receivable team in securing deposits and payments
  • Prepare group resumes and turnover of definite groups to the hotel operations team
  • Maintain effective written communication to the hotel operations team regarding onsite groups and events
  • Follow up with clients regularly during and after departure to ensure satisfaction and secure future bookings
  • Support manager in the preparation of special events, hotel tours, and off-site presentations for potential clients
  • Cultivate collaborative, mutually supportive relationships with and among customers, as well as the CQ community, membership team, and hotel staff
  • Promote teamwork and quality service through daily communication and coordination with other departments
  • Perform other duties as assigned

Qualifications

  • 2+ years of successful experience in a guest-facing hotel setting preferably in Group Sales or Conference Services
  • Proficient in Word, Excel and PowerPoint
  • Working knowledge of Salesforce, iVvy, and Opera a plus
  • Working knowledge of Cvent a plus
  • Exhibit willingness to take on new challenges
  • Able to complete tasks with minimal supervision
  • Highly detail oriented and able to complete multiple tasks simultaneously
  • Able to complete work in a timely manner with prompt responses to voice mail and e-mails
  • Be comfortable working in a team selling environment
  • Exhibit professional, positive, friendly and caring attitude towards clients and team members
  • Proficient in the English language
  • Excellent writing skills (grammar/punctuation/spelling)
  • Must be willing work varied hours if required
