Job Description

Title: Retreat Director Department: Program

Reports to: Education Director

Date: March 2022 Status: Full-Time/Exempt


The Retreat Director is the Program department lead person for all Signature Immersive Retreats and otherwise Immersive programs. The Retreat Director will assist with all aspects of these programs, including the visioning process, planning, marketing and outreach, logistics, program execution, and evaluation. The Signature Immersive Retreats will be empowered and supported by Pearlstone leadership to take these programs to the next level. Pearlstone currently has 8 signature immersive retreats: Passover, Shavuot, Sukkot, Family Farm Camp, and the Leaders Shabbaton. In 2019, Gramp Camp had its inaugural summer added to our original family farm camp. For five years, starting in 2022 Pearlstone’s Tiyul Adventure Camp and JFAM are working with partners to bring in families for three additional Family Camp Shabbaton experiences. Pearlstone’s Immersive Retreats bring participants of all denominations together, building joyful temporary immersive communities, full of stories, song, learning, and living. A true embodiment of Pearlstone’s vision of Living Judaism, the suite of Immersive Retreats is some of the most impactful of programs at Pearlstone.

The Retreat Director will be a member of Pearlstone’s Program Department, reporting to the Education Director. JFAM is a Jewish family Shabbat or holiday weekend family camp. A JFAM family camp weekend is a chance to be together as a family, enjoy especially planned activities, and meet new friends with aligned values. JFAM family camps specialize in helping families relax, have fun, and spend quality family time together while building community, making new friends, and engaging with and learning about Jewish rituals and customs. Tiyul Adventure JFAM family camps believe every Jewish family belongs at camp and seeks to warmly welcome all family structures, families with members who do not identify as Jewish, families of all races, ethnicities, sexual orientations, gender identities, and families with children and/or adults with disabilities.

The successful candidate will have experience in:

· Program coordination & planning, working with client groups & stakeholders

· Time management & organizational systems

· Innovative program development and implementation

· Ability to manage multiple projects at the same time

· Ensure timely receipt of food allergy or dietary restrictions, rooming lists, guest requests, sets, etc from group leader according to set standards.

· Provide outstanding customer service and be responsive to group leader and other guests during their stay.

· Work some evenings, weekends and holidays.

· Work proficiently with event coordination software.

· Proficient with Microsoft Office.

· Knowledge of Reserve Interactive and Razor’s Edge databases a plus

· Good verbal and written communication skills in English.

· Strong customer service and time management skills.

· Detail oriented and able to multi-task.

· Ability to work well both independently and in a team environment.

· Flexibility to accept new responsibilities and direction as necessary.

· Needs to be receptive to and accepting of guidance from others.

· Ability to deal with difficult people and problems and work with a diverse group of people.

· Good oral and written communication skills

Task Dimensions:

Immersive Retreats

· Marketing and recruitment: work with Pearlstone’s Director of Marketing to develop a strategic marketing plan to increase the number of participants, including at least one third less affiliated.

· Logistics: Identify and address logistical issues including registration, payment, dietary, accommodations, and any other administrative issues. Ask for help/support from others as needed. Communicate with Program Department regarding goals for each retreat. Build schedule with Program Department. Confirm menus with Chefs and share dietary information. Communicate information to guests including welcome information, packing list, directions, etc.

· Execution: Deliver outstanding Immersive Retreat experiences. Provide onsite assistance during the retreat. Anticipate/troubleshoot any challenges that may arise. Adapt to feedback along the way

· Evaluation: Work with Program Director to conduct ongoing evaluation efforts that enables consistent participant feedback which can inform/influence future programming.

Departmental Tasks:

· Approach all Pearlstone programs as recruitment opportunities for Immersive Retreats activities.

· Serve as educator for specific programs to be determined, including: ropes course, holiday celebrations, family camp, family farm festivals, and other programming as necessary

· Collaborate with other educators on content development for other programs.


As Immersive Program Manager, you will not supervise any full-time employees in a year-round capacity. Deep and effective collaboration with colleagues in the hospitality, program and farm departments are necessary for the successful and smooth facilitation of program-related tasks.


While performing the duties of this job, the employee is regularly required to walk, run, hike, farm, and play outside.

Working Conditions:

Works in an office, farm, and forest environment. Potential exposure to noise, dust, hand tools, tractors, heat or cold conditions.
