Job Summary:
Provides direct and broad administrative assistance to one or more executive leaders and/or senior individual contributors. Responsible for exercising confidentiality, sensitivity, and diplomacy when completing own work. Provides thoughtful and tactful support when new processes and policies are implemented. Effectively works with others to ensure and provide seamless support and coverage when necessary. Perform a wide variety of tasks requiring excellent organizational, administrative, and computer skills; in-depth knowledge of general office management; and proven success at teamwork, collaboration, and customer service. Work with the senior management and administrative teams daily on developing reports, presentations and administratively supporting various activities. Serve as a key member of the administrative team that supports the stock transfer function for the Company and the Board of Directors’ administrative responsibilities.

Core Duties:
• Provide specialized and professional support to multiple executives and their senior managers within the Company.
• Apply judgement throughout administrative duties to determine the best course of action to find solutions.
• Ability to work in a fast-paced environment, anticipate issues, stay calm under pressure and work/collaborate with management, key stakeholders and external vendors.
• Demonstrates passion for learning new things, continuous improvement, sharing best practices.
• Direct experience taking care of sensitive and conflicting situations in a diplomatic manner.
• Compose and draft documents and correspondence for presentations, management handouts, and reports; perform editing and fact checking.
• Create, maintain, modify, and/or ensure accuracy of content in various documents, displays, reports.
• Create reports and spreadsheets that may utilize specialized software and systems.
• Help support the stock transfer function for the Company, including but not limited to the following:
• Process grants, exercises, and terminations partnering with HR/Payroll, Legal and Accounting.
• Input all equity activity in equity platform and ensure that equity activity is complete and accurate including demographic information.
• Reconcile and support grant, exercise and releases, termination, and cancelation activity to ensure plan compliance and accurate financial reporting related to equity compensation matters.
• Develop and document processes required of regulatory compliance agencies such as the Securities and Exchange Commission (SEC), including but not limited to all required Form filings.
• Help develop and support the administrative functions associated with the Board of Directors, including but not limited to:
• The creation and dissemination of executive materials for Board of Directors meetings.
• Ability to use the Diligent Boardbook application to generate board books.
• Support any and all scheduling, meeting minute generation, and coordination for the Board of Directors.
• Oversee and/or perform duties associated with scheduling, organizing, and operating complex meetings, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events.
• Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve reporting discrepancies.
• Processes invoices for payment in adherence with documented processes and guidelines and vendor agreements.
• Maintain a Company-assigned purchasing card (P-Card); prepare and submit expense reimbursements associated with the utilization of the P-Card as well as processing any expense reimbursements for others as requested.
• Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with departmental policies.

Knowledge, Skills and Abilities:
• Advanced computer skills and demonstrated experience with Microsoft Office Suite including but not limited to Teams, Word, Excel, PowerPoint and email applications.
• Proven experience creating spreadsheets and composing/creating content, presentations and special reports.
• Demonstrated success in following through and completing projects.
• Excellent organizational skills and attention to detail.
• Critical thinking skills to be able to troubleshoot and identify and resolve potential conflicts or issues before they occur.
• Strong verbal and written communication skills.
• Excellent customer service and interpersonal skills.
• Proven track record of building effective relationships with internal/external stakeholders.
• Effective time management; uses initiative to prioritize workload and execute against multiple projects and deadlines.
• Ability to prioritize, multi-task, and collaborate with others.
• Ability to take initiative and ownership of projects, demonstrating pride in one’s work.
• Ability to routinely and independently exercise sound judgment in making decisions.
• Notary Public or ability to become Notary Public, including being an eNotary.

Education & Experience:
• High school diploma and 7-9 years of administrative experience, or a combination of education and relevant experience.
• General telecommunication knowledge a plus.
